What are Teams in Kiplot?

A team in Kiplot represents a group of people working together on different outcomes to deliver initiatves. Teams help you organize work and manage resources effectively.

In this section, explore how to create, edit, and view team details, and manage team capacities.

Creating a Team

To create a new team in Kiplot, follow these steps:

  1. Navigate to the Teams section by expanding the Strategic Portfolio menu in the sidebar and clicking on Teams.

  2. Click the Create button in the top right corner.

  3. In the Create Team modal, enter the team name and a description.

  4. Click the Create button to finalize the creation.

View Team Information

To view detailed information about a team, on the Teams list page:

  1. Locate the team you want to view from the list.

  2. Click directly on the team name, such as Analytics or DevOps, to display detailed information.

  3. Use the Information tab to see organizational information and related initiatives.

  4. Use the Capacity tab to view and manage the team's capacity for different skills and time periods.

Editing a Team

To edit an existing team, on the Teams list page:

  1. Click directly on the team name from the list.

  2. Update the necessary information on the team details page.

  3. Changes are saved automatically.

Deleting a Team

To delete a team:

  1. Find the team in the list.

  2. Click the delete icon next to the team name.

Managing Team Capacity

Adding Capacity to a Team

To add capacity to your team:

  1. Click on the team name from the list.

  2. Go to the Capacity tab.

  3. Click the Add team capacity button in the top right corner.

  4. Select a team member, specify a skill, select a time period, and enter an initial capacity value. This capacity can be adjusted later, so just enter the value you want to allocate for the first available month within the chosen time period.

  5. The capacity will appear in the Team Capacity section: The blue numbers represent set values and the grey numbers represent inferred values.

  • Set Value: This is a value that you manually enter for a specific month.

    When you input a value (e.g. 24) in January against Amy Smith, Kiplot will continue to apply this value to all subsequent months until a new value is set. So, if no new value is entered for February, March etc, they will automatically be inferred as 24 and displayed in grey.

    Inferred Value: This is a value that is automatically applied to subsequent months based on the last set value.

    If you later enter a different value against a month, Kiplot will update all following months in grey. E.g. Katie Ward and Richard Bourne have custom values in May, but inferred values in June.

    This feature speeds up data entry when you are setting standard values for extended periods of time.

Managing Reserved Capacity

Reserved capacity is automatically subtracted from the overall team capacity and can be set aside for regular work outside initiatives, such as Tech Debt & Maintenance.

  1. In the Capacity tab, click the Add reserved capacity button.

  2. Set the reserved capacity values.

Removing a Person from Team Capacity

To adjust individual capacities:

  1. Click the three dots next to the team member's name in the Capacity tab.

  2. Click Remove

Planned absences like PTO and annual leave should be deducted from the team capacity at the individual level.
